We
have listened to your requests for new features, added a few of our
own, and are proud to release Reservations Pearl 8.0. We are excited about our
new upgrade and hope you will be too. If you have already Demoed one of
our previous releases it's time to look again. We think you will like
what you see.
Two New restricted access accounts: (In addition to Manager, POS, and User accounts)
Front Desk access: This account cannot access Settings, POS and Reports and only has view only access to the Rooms (so can view rooms and ck availability calendar)
View Only access: This account allows the user to 'look but not touch' in all areas except Settings, POS, and Reports.
Record Locking:
After the
Reservation has been marked “Checked Out”, charges and payments cannot be edited for certain access accounts.
Credit Card Security:
Manager accounts will now be able to view the entire credit card number for 8 days after the checkout date.
More User Preferences
Enhanced Availability Calendar Color Schemes: Select you own color
scheme for the Search Availability Calendar. Conflict Color coding was
added to the scheme.
Prompt for Housekeeping status: Set if you would like to be prompted for the housekeeping status upon check-in or out.
Print Settings: You may select the default paper size to be A4 format system wide.
Group Reservation Enhancements
The Group Reservation details area now has checkboxes to display if a guest was checked in our out. No
more switching screens to check on a group. All the details you need
are right on the Group Reservation screen.
Assign Housekeeping Status and Staff Now upon
check-in or checkout, a pop-up will display allowing you to change the
Housekeeping Status and Assign Housekeeping Staff. When Checking in for
example, the status is automatically set to 'Occupied', upon checkout
the status is automatically set to 'Needs Cleaning'. This feature can
also be disabled in the settings area, preventing the pop-ups from
displaying.
Invoicing Enhancements
Personalized Messages: You always had the ability to set a standard message that would be printed on all Invoices, but now you have the ability to add a personalized message to individual invoices. We also doubled the size of the standard description area on the invoice allowing more detailed descriptions.
Multiple Page Invoices: When you have a reservation with a large number of line items, the invoice can print multiple pages if necessary.
Reservations 8.0 Upgraded Feature List
General
Added a new preference in the settings area to keep the paper size setting locked to A4 (for Australian users only).
Security
Added 2 new restricted access accounts for Front Desk and View Only.
When upgrading to a new version of Reservations, the existing User Accounts will be copied to the new version.
Manager or Admin accounts only will be able to view the full credit cad number for 8 days after the check-out date. After 8 days and all other users will only be able to view the encrypted number.
Added the ability to 'Lock' the reservation for certain users, preventing modification of charges and payments after the guest has 'Checked Out'.
Improved login security.
Accounting
Added the ability to register the Quickbooks plug-in withing the software, easing the setup process.
Group Reservations
Added the checked in and out checkboxes to identify the status of each guest from the group reservation window.
Housekeeping
New prompt that asks you to assign housekeeping staff, and automatically sets the room status to 'Needs Cleaning' upon checking out.
Added a preference option in the settings area to turn off housekeeping prompts when checking guests in or out.
POS
Corrected an issue with posting POS charges to the guest reservation.
Made the item size field editable to allow for custom sizing.
Modified the Sales Id to prevent Invoice Importing errors into AccountEdge.
Room Area
When Copying Rates from another Room, the Room Entity Title will be copied over.
Added a new field to assign housekeeping staff, and also displayed housekeeping staff on the Room list report.
Availability Calendar
Enhanced conflict catching. Now you can assign a color to conflicts that appear on the Search Availability Calendar.
Correct issue when printing calendars that only 'records being browsed' are displayed.
Updated links to Availability Online version 4.0.
Corrected issue when posting to Availability Online during a leap year.
Reserve Area
Added a button to book a reservation directly from the waiting list.
Added the ability to add an individualized comment to the printed invoice while retaining the standard invoice comment.
Added a timestamp to the check-in and out dates.
Corrected potential error from Availability Online import, that removes hard returns during importing.
Expanded the Printed Invoice and Confirmation to allow twice as much text in the description area. Expanded both forms to print multiple pages (if required).
Removed access to the 'Less Payments' field in the Reserve Charges area.
Standardized the Invoice and Confirmation forms so they now use the same terminology.
Corrected issue with displaying April 3rd on the search availability screen.
Reports Area
Corrected issue related to printing PDF's for group reservations.
Modified the date formatting for Australian users when using the 'Reservations by Month' report.
Added 'Amount with Tax' to the 'Reservations by Month' report to be 'tax inclusive' for Australian users.
Increased the size of the amount fields on all reports to display larger totals.

Added Features for Reservations 7.0
Reservations Has a New Look!
The look of Reservations 7.0 has been completely overhauled to be even more visually appealing, easy to navigate, and fun to use! We call this the new Pearl interface and we know you'll love it.
ADD TIPS OR SERVICE CHARGES You now have the ability to add tips and/or service charges to your
guest invoices based on a percentage you enter. The line item charge will be calculated on the invoice subtotal.
NEW 'CUSTOMIZE' SCREEN We've included even more customizable options for our multi-user version
customers. Our 'Customize' screen in the Settings area makes it easier to navigate to modifiable screens.
NEW REPORTS Two new reports have been added offering you a way to print the user-defined information fields,
so you can more easily track the information you enter there.These reports are modifiable too (MU versions)!
BETTER CONFLICT CATCHING We've improved conflict catching when entering reservations in the
Groups and Agent areas.
UPDATED ONLINE OPTIONS Reservations 7.0 is fully compatible with Availability Online 4.0
Reservations 7.0 Upgraded Feature List
General
The look of Reservations 7.0 has been completely overhauled: we call this the new Pearl interface.
It's now easier than ever to find information you're looking for.
When in 'Find Mode' you will now see a magnifying glass on each field to easily recognize that you are performing a find.
"Cancel" and "Perform" buttons have been implemented to make performing the find easier.
You now have the ability to jump straight to the To-Do list from the opening screen.
Pro-Pack users now have even more options at their fingertips. (Multi-User version comes with the Pro Pack.)
A new tab has been added to the 'Settings' area called 'Customize'.
User Defined Field reports are editable.
For international users, instructions have now been included for choosing either the United States or Australia version to best fit your needs.
Guests Area
Marketing: The marketing fields have been brought together in one place so it's easier to keep track of your mailing list and marketing strategies.
Memos/To-Do: This area has been expanded so it's easier to keep track of things like:
A list of family members,
A list of birthdays,
Date of inquiry of a potential guest,
Guest interests,
A guest's food preferences,
And more!
You can now zoom to the Guest Record from their reservation.
Room Area
Look for the "Calendar Sort Order" field, which allows you to sort the rooms any way you'd like in the Room List report and the Search Availability calendar.
Rates can now be setup on a Per Person basis; if the checkbox is left blank, the rate applies regardless of the number of people in the room.
We've included custom graphics and a drop-down list for the 'Room Entity' field. You can change the default 'Room' to 'Bed', 'Cabin', 'Site', or 'Slip'. You can still enter your own entity name by double-clicking the field and typing a custom title.
You'll now be notified before changing the Room ID that your room will be disconnected from its linked files.
Availability Calendar
You'll be able to see the rooms in any order you like by setting the room sort order for each room in the Room area.
Friday and Saturday are now highlighted so it's easier to see your availability at-a-glance.
The ability to close the Availability Calendar from each screen.
Reserve Area
The ability to add a service charge or tip based on a percentage of the total price has been added to the Charges area.
New split payment calculation in the Payments area allows you to calculate the amount to split the bill for any number of people.
Add guest records on-the-fly from the Group Reserve area.
Add agent records on-the-fly from the Agent Reserve area.
The red 'CONFLICT' message will now appear in both the Group and Agent Reserve areas if you create a reservation which conflicts with one already in the system.
Reports Area
You can now track information you enter into the User Defined Fields in 2 new reports.
Pro Pack users will be able to edit these reports: start in the 'Customize' tab of the 'Settings' area. (The Pro Pack is included with the Multi-User version)
Furniture condition tracking has been enhanced in the Reports area.
A staff drop-down list has been added to the Shift Receipts Log and Shift Booking reports for easier access.
The To-Do report now includes reminders for all types of contact logs instead of only the To-Do type.

Reports area: The 'Invoice Log Summary' report in the accounting reports list has been updated to include the 'Checked Out' box so you can easily see a guest's status next to their remaining balance due. This also helps for users of MYOB and AccountEdge, since guest invoices will not export unless they are marked as 'checked out'.
General: A problem regarding a "CONFLICT" message showing up for all reservations that began on April 30 has been corrected.
POS Users Only: Reservations will now automatically enter your first location as default when creating a new invoice. You can still select another location from the drop-down list. This is especially helpful if you have only one POS location so you no longer need to select it before continuing with the sale.
Availability Online Users Only: enhanced instructions in the help notes for online reservations. Also, a problem with uploading reservations that began on April 30 has been corrected. Single User Version Only: pop-up windows throughout software are now easier to close.
Australia Multi-User or Pro-Pack Version users Only: you can now access the modifiable layouts from the Settings --> Customization area.

Reserve area: Added a button to close the virtual terminal pop-up window for Single User Version.
Room area: The Room ID can now contain more than 8 characters. Availability Online users: please continue to limit your Room ID name to 8 characters for compatibility.
Settings area: Invisible buttons for 'Click here' in Settings --> Accounting area were moved to the right to match the text.
Update Steps: The update script no longer stops and asks whether you want to replace the 'record no' field in the Shift Receipts Log area.

Navigation for Australia Users: Bug fixed for navigating to the Rooms layout from the Welcome Screen and from room reports.
Room area:
Australia Users: When entering room rates, if a tax is not checked, Reservations will automatically use the "Rate Incl" as the "Rate Excl". Otherwsie, it will calculate the Rate Excl for you based on the tax.
Put arrow on housekeeping field to indicate there is a drop down menu;
Edited title of housekeeping field on Australia layout;
Fixed bug on 'copy rates from another room' button;
Improved the 'Create Rooms for a New Year' button to check if the new year has already been created. If it has, Reservations will prevent duplicate rooms from being created.
Check Availability Calendar: On months with 31 days, using the scroll button to view the last stretch of the month was updated to scroll further to show the 31st day.
Reserve area:
In Reserve --> Single area, took the specific currency format off the 'Split Payments' total on the Payments tab.
In Reserve --> Group area, added the message "Only the first 10 rooms are displayed" in red to the 'Group Information Sheet' (this message will not print). To print a list of all rooms / guests for a particular group, the user can view the "Room / Guest List" and print.
In Reserve --> Group area, fixed bug of sending the confirmation as a PDF attachment in an email.
In Reserve --> Group area, the Group Confirmation was showing the "Host ID" with the incorrect title of "Account No." The title has been corrected to be "Host ID".
Edited the rate description in the reservation charges so the charges lookup correctly in both the US and AUS versions.
Reports Area:
Updated the Conflict Report to only show Reservations that have not been checked out. This will help narrow the list down to current or future reservations.
The Sales by Item report has been updated to show the Extended amount next to the Quantity.
POS area: The button to 'Post POS Charges to Guest Invoice' now checks to see if the guest is checked out. If the guest is checked out, a message will show and the system will NOT allow charges to be posted.
Availability Online: Edited script that imports reservations from Availability Online. It now brings in the country and rate, as well as correctly bringing in the payment information.
